Responsibilities

Job Summary:

The Administrative Assistant/Customer Service Coordinator is responsible for supporting daily warehouse and administrative operations. This role involves direct communication with customers and team members, coordinating shipments and pick-ups, maintaining accurate inventory records, and ensuring all documentation is completed efficiently and accurately. The ideal candidate will possess strong organizational and customer service skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

 

Responsibilities

  • Answer phone calls and address inquiries from shippers and team members.
  • Communicate with customers, demonstrating a high level of customer service.
  • Coordinate client pick-ups, ensuring timely and accurate fulfillment of orders.
  • Collaborate with team members to maintain and update the warehouse system as needed.
  • Verify and adjust inventory in computer systems; notify the manager of any discrepancies.
  • Handle packing lists and/or bills of lading for all products received into the warehouse.
  • Accurately document any exceptions to the receipt of products and report them immediately to management.
  • Upload clear, accurate pictures and descriptions of any product damage into the database as needed.
  • Communicate any receiving issues and/or discrepancies to the Warehouse Manager and team.
  • Research shipment discrepancies in the database and work closely with Team Leads and the Warehouse Manager to resolve them.
  • Print picking requests, including locations, number of pallets, product details, and any partial pull documents.
  • Perform billing duties accurately and in a timely manner.
  • Perform other duties as assigned.

 

Qualifications

 

  • Proficient computer skills, including Microsoft Word, Excel, and Outlook.
  • Strong verbal and written communication skills.
  • High school diploma or equivalency certificate required; significant, relevant, or appropriate work experience may be considered in lieu of formal education.

Organization Relationships:

This position will interact with branch colleagues, leadership staff, and office /warehouse personnel. Must be able to work with customers, vendors, and outside organizations.

 

Work Environment:

(With or without accommodations) This position is predominantly sedentary office work which involves sitting, typing, filing, and conversing on the phone.
